Office Administrator

We're looking for a friendly, organized, and detail-oriented Office Administrator to be the first point of contact for our customers and help keep our front office running smoothly.

Responsibilities

• · Greet customers and provide a welcoming, professional experience
• · Check customers in and assist with vehicle drop-offs and pick-ups
• · Communicate repair updates to customers throughout the repair process
• · Answer incoming phone calls and respond to emails professionally
• · Schedule appointments and coordinate with the production team
• · Create, update, and manage repair orders using CCC ONE
• · Match invoices and receipts to repair orders and maintain accurate records
• · Process customer payments and assist with basic office accounting tasks
• · File and organize repair documentation and insurance paperwork
• · Assist with administrative tasks to support daily shop operations
• · Maintain a clean and organized reception area

Qualifications

Requirements

• · Previous experience in a collision repair shop or automotive service office preferred
• · Experience using CCC ONE management software strongly preferred
• · Bilingual in English and Spanish (required)
• · Excellent customer service and communication skills
• · Strong organizational skills with exceptional attention to detail
• · Ability to multitask and prioritize in a fast-paced environment
• · Proficiency with Microsoft Office (Outlook, Word, Excel)
• · Positive attitude and team-oriented mindset
