Requirements
- ESSENTIAL JOB FUNCTIONS: Utilize project management skills to coordinate and execute various initiatives, from conception to completion.
- Delegate and prioritize tasks, manage resources, analyze problems, report progress, and analyze project performance.
- Coordinate complex travel arrangements and accommodations for executives, ensuring seamless itineraries.
- Manage and approve expenses in accordance with company policies and budgetary guidelines.
- Schedule and coordinate meetings, and conferences for executive team members.
- Leverage technology tools and platforms to streamline administrative processes and improve efficiencies.
- Collaborate with cross-functional teams to drive projects forward and achieve desired outcomes.
- Prepare meeting agendas and take accurate notes in leadership meetings. Distribute summaries and action items in a timely manner.
- Prepare presentations for the executive leadership team.
- Efficiently review, prioritize, and respond to emails on behalf of the leadership team.
- Represent Flourish Research in a professional and courteous manner (verbal, written and in appearance) when interacting with all staff, clients, and vendors.
- Support HR projects and workstreams.
- Additional duties as assigned by management.
- PHYSICAL REQUIREMENTS AND/OR ENVIRONMENTAL FACTORS: Work is performed on-site.
- Travel may be required up to 35% - 50%.
- Must be able to remain in a stationary position 50% of the time.
- The person in this position frequently communicates with all stakeholders and must be able to exchange accurate information in these situations.
- Constantly operates a computer and other office machinery.
- Occasional evening and weekend work schedules.
- Ability to properly lift thirty-five pounds and occasionally more than thirty-five pounds.
- Ability to drive and daily availability of an automobile.
MINIMUM REQUIREMENTS:
Education:
Bachelor’s degree in business or related field
Experience:
7-10 years’ experience as a Senior Executive Assistant or a similar role
3-5 years' experience in Project Management
Experience in clinical research or health care preferred.
Knowledge and Skills:
Full professional proficiency in office productivity software and other relevant tools.
Excellent verbal and written communication and interpersonal skills, with the ability to interact confidently with internal and external stakeholders.
Excellent computer skills to include Office365 products, Graphs, Excel pivot tables, Word Forms, Visio, Org charts, etc.
Strong problem-solving and critical thinking skills.
