The Bilingual Marketing & Administrative Assistant at Shalhoub Law is designed to significantly enhance the firm's operational efficiency and expand its reach within the community. As the firm embraces a lean, proficient team structure, this role will provide essential support to the lawyer and paralegal, allowing them to focus on high-value tasks.

By managing social media presence, offering bilingual client communication, and undertaking administrative duties, this position not only supports but actively propels the firm's mission of advocacy and justice forward.

What you’ll do:

• Social Media Management: Create static social media posts and manage the distribution of video content across platforms, helping maintain a consistent and professional online presence.
• Spanish-Language Support: Provide real-time English-Spanish translation during consultations and client interactions, helping the firm effectively serve Spanish-speaking prospects and clients.
• Client Communication: Conduct assigned client check-ins and follow-ups, including gathering treatment updates and other requested information while maintaining professional communication.
• Administrative Assistance: Handle scheduling and general administrative tasks to support the firm and keep priorities organized.
• Marketing Coordination: Manage marketing, networking, and community engagement calendars, coordinating commitments, events, and other business-development activities.
• Content Creation: May assist with developing short content pieces for the firm's website, depending on experience.
• Legal Support: Assist with template-driven legal administrative tasks, including initial letters, intake documents, and medical-record requests.
• Phone Backup: Provide phone coverage support when necessary, maintaining professional communication standards.

What we’re looking for:

• Bilingual Proficiency: Fluent in English and Spanish, with the ability to translate in real-time during client interactions.
• Relevant Experience: 2-3+ years of experience working with a U.S.-based company, ideally involving social media, content creation, customer service, or administrative support.
• Social Media Expertise: Experience creating and managing social media content across multiple platforms.
• Professional Communication: Exemplary verbal and written communication skills, with the ability to provide pleasant, professional service when interacting with clients and third parties.
• Organizational & Administrative Skills: Highly organized with experience in scheduling, document preparation, and managing multiple responsibilities across marketing, client service, and administrative work.
• Judgment and Discretion: Ability to recognize when a question falls outside your responsibilities, avoid speculation, and escalate the inquiry to the appropriate person.
• Legal Experience: Previous legal or law firm experience is a plus but not required; the ability to learn established processes and follow templates accurately is essential.
• Remote Work Readiness: Comfortable working a fully remote role while maintaining consistent availability, responsiveness, and effective collaboration during the firm's preferred 9:00 AM–5:00 PM Eastern working hours.
