We are currently seeking a detail-oriented and proactive Purchasing Associate - TD / AV to support the daily procurement needs of our Technology and Audio Visual project teams. This role is responsible for sourcing, ordering, expediting, and coordinating the delivery of specialized low-voltage and technology materials for active construction projects.
The ideal candidate will be highly organized, comfortable managing multiple priorities, and able to work closely with project managers, field personnel, suppliers, and warehouse operations to keep projects supplied and moving forward.
Primary Responsibilities:
· Partner with TD / AV project managers, supervisors, and field personnel to understand current and upcoming material and equipment requirements across active projects.
· Request, review, and compare supplier quotations; confirm pricing, availability, lead times, freight requirements, and delivery commitments before orders are placed.
· Create, manage, track, and close purchase orders, while maintaining accurate vendor, order, and project purchasing information in the company system.
· Verify manufacturer, model or part number, quantity, accessories, and project requirements before releasing orders, with particular attention to specialized or configured technology products.
· Track order acknowledgements, backorders, substitutions, shipping status, and expected delivery dates; proactively communicate material risks or delays to project teams.
· Coordinate direct-to-jobsite deliveries, warehouse deliveries, supplier pickups, and other logistics requirements so materials arrive where and when they are needed.
· Work with suppliers and project teams to resolve damaged shipments, shortages, incorrect material, returns, credits, and other order discrepancies.
· Review purchasing requests for opportunities to consolidate orders, use available inventory, transfer material between projects, or reduce unnecessary expedited freight and emergency purchases.
· Maintain organized quote files, purchasing records, delivery information, and supporting documentation for project visibility and closeout.
· Develop productive supplier relationships and identify alternate sources, comparable products, or other options when availability, lead time, or pricing creates project risk.
· Coordinate closely with Purchasing, Warehouse, Logistics, Accounting, and Operations to support efficient material flow from purchase request through delivery and invoice resolution.
· Adhere to company safety requirements, purchasing procedures, and internal controls, and perform other duties as assigned.
Requirements
· Strong organizational skills, attention to detail, and the ability to manage multiple orders and project priorities in a fast-paced construction environment.
· Effective communication and follow-through when working with suppliers, project managers, field personnel, warehouse staff, and other internal teams.
· Ability to review material lists, equipment schedules, product information, and project documentation to verify purchasing accuracy.
· Working knowledge of purchasing, purchase order management, inventory coordination, expediting, and basic material logistics.
· Strong problem-solving skills with the ability to identify supply risks and pursue practical alternatives before they impact field installation.
· Comfort using ERP or purchasing systems and Microsoft Office applications, including Excel and Outlook.
· Knowledge of AV, low-voltage, security, communications, or electrical construction materials is preferred.
· Positive attitude and strong interpersonal skills, with the ability to work effectively as part of a team and provide responsive support to field operations.
Education and Experience: · High school diploma or equivalent required; Associate or Bachelor's degree in business, supply chain, construction management, technology, or a related field preferred.
· Two (2) to Five (5) years of experience in purchasing, procurement, order management, material coordination, or a similar role preferred.
· Experience within the construction industry is preferred; experience supporting AV, low-voltage, security, technology, or electrical projects is a plus.
Physical Requirements: · Prolonged periods of sitting at a desk and working on a computer.
· Physically able to stand for extended periods of time and lift up to 50 lbs.
