Digital Asset Manager, Marketing & Ecommerce at ProCaps Labs | LAYIQ

ESSENTIAL JOB DUTIES & RESPONSIBILITIES
Digital Asset Management System
Own, administer, and improve the DAM ecosystem (Brandfolder) and file storage structure (SharePoint)
Define and evolve the long-term asset management strategy as volume and channels grow
Own the asset system and the standards behind it; set it up so teams can find and pull approved assets themselves; this role handles new assets coming in, exceptions, and problems with the system, not routine file requests
Metadata & Taxonomy
Build and enforce tagging systems, file-naming conventions, and folder/category structures
Partner with Ecommerce and Creative on taxonomy so metadata accounts for SKU, product name, category, brand, asset type, channel, campaign, ingredient, lifecycle status, and expiration date, making the DAM searchable in the language the team actually uses
Maintain a clear, tagged relationship between every asset and its SKU/product/variant including channel-specific identifiers (e.g., marketplace parent and child item numbers) and the exact placement or image slot it fills, particularly where multiple strengths, sizes, flavors, bundles, or packaging versions exist
Build naming rules that generate the file name each channel requires, including formats that don't allow spaces, dashes, or underscores
Product & Merchandising Asset Management
Maintain complete, organized asset sets for every product including product imagery, lifestyle imagery, ingredient/benefit graphics, video, thumbnails, logos, badges, icons, and supporting content
Ensure approved, production-ready assets are available ahead of website launches, PDP updates, promotions, campaigns, and other go-live dates
Access Control & Compliance
Set and maintain user permissions and security protocols to protect sensitive content
Enforce usage rights, licensing terms, and compliance rules for internal and external use, ensuring internal teams and external partners only access and use approved, up-to-date assets
Stay aware of and collaborate with the internal compliance team on regulated content requirements
Tie label and panel images to the physical label version they came from, with a date, and treat label replacement as a logistics/compliance task rather than a creative refresh
Brand Consistency & Version Control
Flag outdated or non-compliant assets and manage version control rack approval by channel, not just a single approved status — an asset cleared for the website is not automatically cleared for Amazon, which has its own image rules and compliance requirements
Lifecycle Management
Oversee intake of newly generated assets from photo/video shoots, creative, and agencies
Require layered files and transparent masters on intake, not just flattened exports, so channel teams can produce the sizes they need without a new creative request
Manage updates, archival, and deletion of outdated or superseded files
Maintain asset lifecycle status — active, superseded, expired, archived — per established Creative, Marketing, Product, and compliance workflows
Coordinate the replacement or removal of assets when products or claims change, notifying channel owners in advance and showing every place an asset is currently in use before it's pulled — no channel team should discover a change because something broke
Confirm retired assets actually come down or get replaced in downstream systems, not just in the DAM (an archived asset can stay live on a channel until someone replaces it there)
Channel Specifications & Support
Keep a current spec sheet for every channel and placement — dimensions, aspect ratio, file type, resolution, file size, compression, and naming — built and maintained with the channel owners
Track go-live dates on channels
Technology & Workflow
Support Ecommerce and IT on integrations between the DAM, CMS/ecommerce platform, PIM/product data systems, and other marketing platforms
Help define workflows for automatically distributing approved assets to downstream systems where appropriate
Identify opportunities to reduce manual downloading, resizing, renaming, and re-uploading of assets
Partner with Ecommerce to ensure asset URLs and replacement workflows don't create broken images or hurt site performance/SEO
User Training & Adoption
Train staff across departments on system use, search, and upload/organization best practices
Drive adoption and consistent habits across teams with varying technical comfort levels
Cross-Functional Collaboration
Partner with Marketing, Creative, Product, Operations, and Ecommerce channels to understand asset needs by function
Serve as the point of contact for external partners and agencies, ensuring they receive and use the correct, approved assets

Duties are performed primarily in a smoke-free manufacturing environment
