About the Role

We are seeking a detail-oriented Construction Administrative Assistant to support day-to-day operations for a client working on multifamily and commercial development projects in the Los Angeles area. This on-site role is ideal for someone with hands-on construction industry experience who thrives in a fast-paced job site or field office environment and can juggle documentation, coordination, and communication across project teams.

Key Responsibilities

• Provide administrative support to project managers, superintendents, and field staff
• Prepare, organize, and maintain project documentation, including submittals, RFIs, change orders, and daily reports
• Track subcontractor certificates of insurance, licenses, and compliance documentation
• Assist with scheduling meetings, site visits, and inspections
• Maintain accurate project files (digital and physical) and ensure documents are properly logged and distributed
• Coordinate communication between the field office, subcontractors, vendors, and clients
• Support procurement processes, including purchase orders and material tracking
• Assist with certified payroll documentation and compliance reporting as needed
• Take meeting minutes and distribute action items
• Perform general office duties: answering phones, managing correspondence, ordering supplies

Requirements

Qualifications

• Minimum 3 years of administrative experience specific to the construction industry (multifamily or residential development experience strongly preferred)
• Familiarity with construction terminology, workflows, and documentation (RFIs, submittals, change orders, etc.)
• Proficiency in Microsoft Office (Word, Excel, Outlook); experience with construction management software (e.g., Procore, Buildertrend) a plus
