Engineering Administrator, Springer Tungsten Mine and Milling Site Operations at Blue Moon Metals | LAYIQ

Engineering Administration
Provide day-to-day administrative support to the Engineering Manager and Engineering team.
Prepare and format correspondence, reports, presentations, meeting materials, and other departmental documents.
Maintain engineering calendars, contact lists, action registers, departmental files, and administrative records.
Document & Information Coordination
Organize and maintain engineering drawings, specifications, technical documents, manuals, reports, and correspondence.
Support the distribution, tracking, filing, and retrieval of current engineering information.
Work with engineering and document-control personnel to help ensure obsolete or superseded documents are appropriately identified and managed.
Scheduling & Meeting Support
Coordinate engineering meetings, site visits, design reviews, contractor meetings, and other departmental activities.
Prepare agendas, record meeting minutes, distribute materials, and track assigned actions through completion.
Maintain departmental schedules and communicate upcoming deadlines, meetings, deliverables, and required decisions.
Procurement & Financial Administration
Prepare purchase requisitions and support the processing of engineering-related purchase orders and service requests.
Track orders, deliveries, invoices, consultant documentation, and vendor information.
Maintain departmental expense records and support budget tracking, cost reporting, and forecasting activities.
Contractor & Departmental Coordination
Assist with the onboarding, site access, scheduling, and administrative requirements of engineering consultants, contractors, and vendors.
Coordinate information and requests between Engineering, Projects, Construction, Operations, Maintenance, Supply Chain, Finance, and other departments.
Follow up on outstanding submissions, approvals, documentation, and administrative actions.
Compliance & Process Improvement
Maintain records in accordance with company policies, document-management requirements, and confidentiality standards.
Support departmental audits, reporting requirements, and the collection of information needed for compliance activities.
Identify opportunities to improve engineering administration, document organization, communication, and workflow efficiency.

High school diploma or GED required.
Post-secondary education in Business Administration, Office Administration, Engineering Technology, Project Coordination, or a related field is preferred.
Minimum of 2 years of administrative or coordination experience, preferably supporting an engineering, project, construction, mining, or industrial team.
Experience maintaining technical documents, drawings, reports, schedules, or project records is preferred.
Experience with procurement documentation, purchase orders, invoices, and vendor coordination is considered an asset.
Experience working with multidisciplinary teams, contractors, and external service providers is preferred.
Valid driver’s license and ability to meet all site-access requirements.

Excellent attention to detail and commitment to maintaining accurate records.
Strong written and verbal communication skills.
Ability to prioritize multiple assignments and follow actions through to completion.
Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
Experience with document-management, ERP, procurement, project-management, or scheduling systems is an asset.
Ability to handle confidential and technically sensitive information appropriately.
