Overview
The Administrative Associate works with the Director(s) in Patient Services to improve and maintain processes of operation relating to all personnel involved within their area/units of responsibility. This individual acts as liaison with various leadership personnel, internal and external. This includes, clerical functions, word processing, maintaining records, and computer systems support.
T he Administrative Associate demonstrates excellent customer service. Responsibilities
Contributes to organization success targets for net operating margin.
M odels Covenant’s Mission, Vision and Values of keeping our Promise of Caring and Commitment to Service.
D emonstrates excellent customer service.
P rovide support to Patient Services Directors and Managers on occasion.
W orks independently, proactively analyzes situations, identifies alternative solutions and makes appropriate decisions.
O rders and maintains office supplies and forms.
D istribute and route memos, literature, self and peer evaluations, Managing the Mandatories, age specific competencies, and any other material.
S chedule routine 1:1’s, monthly and quarterly meetings and responsible for the Directors calendars.
W orks on special reports as directed.
D emonstrates excellent interpersonal skills, ability to work effectively under pressure, and ability to work accurately despite frequent interruptions.
T ypes memos, letters, minutes, and other professional documents including evaluations for Directors and Managers, patient, physician, and employee complaints.
M aintain and update department route slips, employee phone lists, and phone fans.
R eceives and distributes department mail.
R esponsible for appropriate expense assignment of the Director’s Visa cards.
R esponsible for accurate biweekly payroll.
M aintains confidentiality.
O ther duties as assigned.
Qualifications
EDUCATION/EXPERIENCE REQUIREMENTS
H igh school diploma or GED required.
T raining in office, secretarial, or computer field preferred.
M inimum of one year of secretarial experience.
KNOWLEDGE/SKILLS/ABILITIES
C omputer competency, including Microsoft Office and Lotus Notes.
K nowledge of standard office equipment.
K nowledge of medical terminology
E xcellent oral and written communication skills.
D emonstrated organizational skills.
G ood clerical skills.
S ound judgment in handling confidential or sensitive issues and material.
D ata entry.
F iling, compiling and assembling documents.
A bility to multi-task.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS
A bility to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
F requent standing, walking, sitting, twisting, reaching, handling, fingering, feeling, talking and hearing.
F requent depth perception, near, midrange and far vision.
O ccasional lifting 0-25 lbs.
