Essential Job Duties

As an Event Manager, Executive & Hosted Experiences at BambooHR, you will own the planning and execution of high-touch experiences involving executives, employees, customers, and partners. This role is well suited for someone who excels at complex coordination, executive communication, hospitality, and creating polished experiences while keeping many moving pieces on track.

You will independently manage the operational details of assigned programs—including venues, vendors, contracts, budgets, logistics, communications, and onsite execution—while partnering with event leadership on broader strategy and business context. Success in this role means anticipating needs, communicating clearly, exercising sound judgment, delivering exceptional experiences, and continuously finding ways to make our programs better.

You will:

• Partner with event leadership to shape the vision and direction for assigned experiences, then own planning and execution from concept through completion.
• Partner closely with executives and Executive Assistants to coordinate executive participation in events, clearly communicating the event vision, expectations, schedules, briefing information, presentation needs, and onsite logistics.
• Translate event plans into clear, concise communications that help executives and stakeholders understand what is needed from them and when.
• Own event logistics including timelines, venues, attendee communications, registration, transportation, food and beverage, event materials, hospitality, and onsite requirements.
• Own venue sourcing, vendor selection and coordination, contract negotiations, procurement processes, and budget management for assigned events, ensuring high-quality experiences while maintaining fiscal responsibility.
• Develop and maintain detailed project plans, timelines, checklists, run-of-show documentation, and readiness materials to keep programs and stakeholders on track.
• Anticipate attendee, executive, and stakeholder needs; proactively resolve operational issues; and seek additional context or guidance when decisions require broader strategic or business input.
• Partner with Marketing, Sales, Customer Experience, Executive Leadership, and other teams to understand program objectives and execute experiences that support those goals.
• Manage event budgets and make thoughtful recommendations that balance attendee experience, business needs, and fiscal responsibility.
• Proactively communicate progress, risks, decisions, dependencies, and areas requiring additional strategic guidance to event leadership and key stakeholders.
• Use previous event plans and organizational knowledge as a starting point while asking thoughtful questions and identifying opportunities to improve future experiences.
• Gather and evaluate stakeholder and attendee feedback to recommend practical improvements to event experiences, processes, communications, and logistics.
• Own onsite execution, including setup, executive and VIP coordination, vendor management, attendee experience, real-time problem solving, and teardown.

What You Need to Get the Job Done

• 2+ years of experience in executive support, executive operations, project or program coordination, event coordination, hospitality, or a related role.
• Experience working directly with executives, senior leaders, or their Executive Assistants in a professional environment.
• Clear, concise, and polished written and verbal communication skills, with the ability to translate plans and expectations into actionable information for senior stakeholders.
• Strong professional presence, judgment, and discretion when working with executives, customers, partners, and other stakeholders.
• Exceptional organizational and project coordination skills with demonstrated ability to manage multiple timelines, stakeholders, priorities, and details simultaneously.
• Experience independently coordinating vendors, venues, contracts, budgets, procurement, travel, or other complex operational logistics.
• Ability to independently execute defined programs and workstreams while recognizing when broader context, feedback, or strategic guidance is needed.
• A proactive mindset with the ability to anticipate needs, ask thoughtful questions, and identify potential issues before they become problems.
• Demonstrated ability to take direction and business objectives, develop an execution plan, and carry that work forward with limited day-to-day oversight.
• Ability to evaluate existing processes and programs, incorporate feedback, and identify practical opportunities to improve future experiences.
• Strong interpersonal skills and the ability to build productive working relationships across teams and levels of the organization.
• Strong problem-solving skills and the ability to remain composed, adaptable, and solutions-oriented as priorities and circumstances change.

What Will Make Us REALLY Love You

Experience as an Executive Assistant, Executive Business Partner, Executive Operations professional, or similar executive-facing role.

Experience coordinating executive meetings, company events, recognition programs, customer experiences, or VIP experiences.

Experience supporting C-suite or senior executive leaders.

Experience coordinating complex schedules, travel, itineraries, briefing materials, or executive communications.

Experience with event planning, hospitality, experiential marketing, or event production.

Experience managing vendors, contracts, event budgets, or procurement processes.

Experience working in SaaS, technology, or a high-growth B2B organization.

Familiarity with event technology, CRM, project management, or marketing platforms.
