Summary
The Event Manager is responsible for the planning, coordination, execution, and closeout of assigned events at Cabarrus Arena & Events Center. The position serves as the primary facility contact for clients following booking and coordinates event requirements with clients, facility departments, contractors, and event-day staff.
The Event Manager ensures that event plans are communicated accurately and on time, facility policies and contractual requirements are followed, and appropriate staffing and services are arranged. Assigned events must be executed safely, efficiently, and professionally. The position also shares responsibility for supervising and developing part-time Event Services staff.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
▪ Serves as the primary facility contact for assigned events following booking through event completion and closeout.
▪ Meets with clients to plan and coordinate event requirements, schedules, room and facility setups, staffing, equipment, services, and other operational needs. Guides clients through facility policies, procedures, contractual requirements, deadlines, and operational expectations.
▪ Maintains appropriate event planning timelines and follows up with clients regarding required information such as floor plans, setup specifications, insurance requirements, payment schedules, staffing needs, and other event details.
▪ Prepares event cost estimates, service orders, event documentation, and information necessary for accurate final billing.
▪ Develops and communicates accurate and timely event information to facility departments and third-party service providers.
▪ Conducts or participates in pre-event, operational, and post-event meetings as necessary.
▪ Reviews facility setups and event spaces to ensure that client requirements and facility standards have been met.
▪ Ensures event operations comply with facility policies, safety requirements, company standards, and applicable regulations.
▪ Provides on-site management for assigned events and maintains regular communication with clients, facility staff, contractors, and event personnel. Identifies and responds to client concerns, operational issues, and changing conditions while keeping facility leadership appropriately informed.
▪ Completes event reports, incident documentation, client follow-up, and other post-event responsibilities as required.
▪ Serves as Manager on Duty as assigned.
▪ Participates in the development and implementation of Event Services procedures, training programs, service standards, and operational improvements.
▪ Performs special projects and other facility responsibilities as assigned by the General Manager.
Part-Time Staff Management and Supervisory Responsibilities
Event Managers share responsibility for the supervision and development of part-time Event Services employees. Responsibilities include:
▪ Directing and supervising part-time employees during events and other assigned work. Assigning duties and ensuring employees understand event requirements, service expectations, safety procedures, and facility policies.
▪ Observing employee performance and providing appropriate coaching, feedback, recognition, and corrective direction. Documenting and communicating performance concerns to facility management as necessary.
▪ Participating in employee performance evaluations and recommending appropriate recognition, development, or corrective action in coordination with the other Event Managers, General Manager, and Human Resources.
Specific administrative responsibility for scheduling, recruiting, training records, or other part-time workforce functions may be assigned to an individual Event Manager by the General Manager.
Event Managers also provide operational oversight and direction to contractors and other event-day personnel within their assigned areas of responsibility.
This position requires a flexible schedule based on facility events and operational needs. The Event Manager must be able to work extended and irregular hours, including early mornings, evenings, weekends, and holidays as required. The position is expected to maintain appropriate office hours on non-event days and regularly meet the work-hour requirements of an exempt management position.

The employee must be able to work both indoors and outdoors based on event requirements and move throughout the facility and grounds. Event assignments may require extended periods of walking and standing, including regularly working on one's feet for 8–10 hours and, on occasion, for longer event days.
