Position Summary
The Office of the Board of Trustees is seeking an Administrative Associate 3 to provide administrative and operational support with limited supervision. This position will support the Associate Secretary and Project and Events Manager with logistics and staffing for events and meetings held primarily on the Stanford University campus. This includes managing relationships with both internal and external vendors, staff, and other interested parties as required.
This role will manage financial transaction processing for the office and, in the capacity of handling event attendance, this individual will communicate directly with Trustees and senior staff. This role will also support operations and maintenance of all Board conference rooms and office space, as well as coordinating activities for reservations of these spaces.
This position will also act as an office manager to maintain basic functions of the office with respect to ordering supplies; maintaining office equipment; keeping Board office and conference rooms in pristine condition; organizing physical and electronic files; monitor and route incoming calls, general office email, and physical mail; and other day-to-day functions to ensure spaces are ready to serve trustees and senior leaders at short notice.
