Responsibilities As a Corporate Events and Multimedia Project Manager, you will play a key role in connecting and engaging Partners through impactful internal corporate events and multimedia communication that celebrate and strengthen H-E-B culture. This role is responsible for day-to-day management of internal corporate events logistics, event vendor relationships, and coordination of scheduling video and photoshoots.
You will lead multiple projects simultaneously, partnering with internal stakeholders, leaders, and cross-functional teams to develop and execute high-visibility internal events and corporate projects that deliver meaningful and memorable experiences for Partners and Leaders across the organization. We are looking for: Bachelor’s degree or equivalent combination of education, training, and experience 2+ years of project and event management experience including experience producing large-scale events and conferences with 500+ attendees and managing multiple projects simultaneously in a fast-paced environment What is the work… Project & Event Management Support and manage the end-to-end production process for internal corporate events while overseeing multiple concurrent initiatives.
Schedule video and photo shoots, event logistics, and manage cross-functional workflows across AV and creative disciplines. Manage project timelines, resources and event vendor partnerships with leveraging strong AV production knowledge to ensure seamless execution of live and hybrid events. Responsibilities include: Provide strategic guidance, consultation, and support to internal stakeholders throughout the event process from initiation through onsite execution.
Manage and create event production documentation for all internal corporate event assets (i.e. project plans, agendas, event ROS, etc.). Create, manage, and track project and event budgets, timelines, and schedules. Manage and lead meetings, site visits and conference calls with stakeholders, vendors, contractors, venues and Partners. Develop and execute project scopes, including RFP creation and management. Communicate project expectations, milestones, and status updates to stakeholders and working teams.
Review and manage all production elements for internal corporate events, including room layouts, stage design and AV requirements. Partner closely with graphic designers and creative teams to plan, develop and review branded print and digital event materials, including event programs, signage, plaques, presentations, and other attendee-facing assets, ensuring a cohesive and engaging event experience. Source, manage and order branded materials for internal corporate events.
Negotiate and manage event vendor contracts, timelines, installations, schedules and deliverables. Source and negotiate hotel, transportation, and venue agreements. Coordinate transportation and logistics for video, photography shoots, and corporate events. Manage onsite event operations, including catering, staffing, event vendors and installations. Produce and coordinate attendee communications for internal corporate events utilizing digital event management tools.
What is your skillset… Ability to work independently and manage multiple priorities while maintaining high levels of organization, productivity and professionalism. Quickly troubleshoot and resolve last-minute issues and event emergencies. Excellent verbal, written and presentation communication skills. Experience in working with executive leadership for corporate events. Working knowledge of project and event management methodologies and digital tools.
Proficiency in Microsoft Office suite software (Outlook, Excel, Word, PowerPoint). Strong negotiation, conflict resolution and facilitation skills. Deliver outstanding results while creating a positive experience for stakeholders, and Partners. Can you… Stand and walk for extended periods of time. Work in varying environments, including exposure to loud noise levels and outdoor weather conditions. Work extended hours as required to support project and event execution.
Travel by car or airplane with overnight stays as required to support project and event execution.
