LAYIQ - Office Supervisor - Medical Office at HealthOp Solutions

Daily Clinic Operations
Oversee day-to-day clinic operations, ensuring efficient workflows, patient flow, and staff coordination.
Serve as the primary on-site leader, providing hands-on operational support.
Identify opportunities to improve clinic efficiency, productivity, and patient satisfaction.
Maintain a professional, organized, and patient-focused clinic environment.
Team Leadership & Staff Support
Supervise and support front office personnel, Medical Assistants, and other clinical staff.
Provide coaching, guidance, and day-to-day assistance to promote teamwork and accountability.
Assist with staffing schedules, coverage adjustments, and operational needs to minimize disruptions to patient care.
Foster a positive, respectful, and collaborative workplace culture.
Compliance & Quality Assurance
Ensure adherence to organizational policies, procedures, and patient service standards.
Maintain compliance with applicable federal and state healthcare regulations, including HIPAA.
Support consistent implementation of operational processes and best practices.
Communication & Problem-Solving
Serve as the primary point of contact for daily operational concerns and staff questions.
Address workflow challenges, patient service issues, and staffing concerns promptly and professionally.
Communicate effectively with clinical staff, providers, and leadership.
Escalate complex operational matters to the Director of Operations when appropriate.
Utilize operational data and reports to identify trends and recommend improvements.
Required Qualifications
Minimum of 2 years of healthcare leadership or supervisory experience, such as Office Supervisor, Front Office Supervisor, Lead Medical Assistant, or a similar role.
Previous experience working in a medical office, outpatient clinic, or healthcare practice.
Strong organizational, time-management, and problem-solving skills.
Demonstrated ability to supervise, motivate, and support administrative and clinical teams.
Working knowledge of healthcare operations, patient scheduling, and clinic workflows.
Familiarity with HIPAA and applicable healthcare regulations.
Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
Experience using Electronic Medical Record (EMR) systems, including generating and reviewing reports.
Strong verbal and written communication skills.
Ability to analyze information, make sound decisions, and resolve operational challenges.
Ability to build positive professional relationships while communicating clearly, respectfully, and directly.
Comfortable working in a fast-paced healthcare environment while maintaining professionalism and attention to detail.
