From Stanford University's posting. “We” and “our” refer to the employer.
Have significant responsibilities for administrative or operational services, functions or programs. Typical duties include developing and administering programs, policies and procedures, performing analyses or acting as a subject matter expert for the function or program. Positions typically include a variety of functions; professionals specializing in a specific field (e.g. facilities, finance) should be classified in the applicable job series.
Positions that administer the content of research programs and/or develop curriculum refer to APP series. While these positions often supervise staff, they are primarily individual contributors.
Please note this position will be based on the Stanford campus and is a hybrid (working on-site and working from home) subject to operational needs.
Stanford University’s Department of Emergency Medicine is seeking a Project Manager for the Emergency Department Data Analytics Committee (EDAC) and Study Design and Statistical Analysis (SDSA) Core. This Administrative Services Administrator 1 position will independently manage a portfolio of cross-functional data, analytics, operational, quality-improvement, and research projects from intake through completion.
The position serves as the primary operational point of coordination among faculty, investigators, analysts, clinical and operational leaders, and institutional partners. The role maintains project visibility and accountability; manages scope, timelines, milestones, dependencies, risks, documentation, approvals, handoffs, and deliverables; facilitates communication and decision-making; and proactively identifies and resolves barriers to project completion.
This is a project-management and operational role. It does not provide statistical expertise, conduct independent analyses, author statistical analysis plans, serve as the scientific lead, or provide substantive grant or manuscript writing. Familiarity with healthcare, academic research, data/analytics, IRB, compliance, or data-governance workflows is preferred because the role operates within those environments.
Manage multiple concurrent EDAC and SDSA projects through initiation, planning, execution, monitoring, and close-out.
Develop and maintain project plans, timelines, milestones, dashboards, workflow tools, action logs, and portfolio-tracking systems.
Monitor project status, workload, dependencies, pending inputs, approvals, risks, and anticipated completion dates; follow up proactively and escalate unresolved barriers appropriately.
Coordinate project intake and routing across EDAC, SDSA, investigators, analysts, external resources, and other institutional partners; ensure required operational information and documentation are present before work proceeds.
Create portfolio reports and analyze project-management metrics to identify bottlenecks, capacity constraints, turnaround-time trends, and opportunities for workflow or resource improvement.
Facilitate meetings, prepare agendas and briefing materials, document decisions and action items, establish clear ownership, and communicate realistic timelines and next steps.
Develop, implement, and continuously improve project-management procedures, intake workflows, documentation standards, communication cadences, escalation pathways, and close-out practices.
Provide process-oriented information and training to faculty, staff, trainees, and partners regarding EDAC and SDSA intake, tracking, documentation, and project workflows.
Coordinate the timelines, documentation, and logistics for presentations, reports, training materials, and conference-related activities.
Three to five years of progressively responsible project or program management experience, including independently managing multiple concurrent projects through the full project lifecycle.
Demonstrated ability to drive projects forward, establish accountability, identify barriers and competing priorities, manage risks and dependencies, and escalate issues appropriately.
Experience developing and maintaining project plans, timelines, Kanban boards, Gantt charts, dashboards, workflow maps, action logs, and portfolio-tracking systems.
Strong organizational, meeting-facilitation, written communication, stakeholder-management, and status-reporting skills, with the ability to synthesize complex information into clear decisions and next steps.
Experience developing, standardizing, and improving workflows, SOPs, intake processes, documentation standards, and project-management practices; Lean, Six Sigma, or comparable process-improvement experience is desirable.
Demonstrated ability to analyze project and operational performance data, identify bottlenecks and trends, and recommend process, prioritization, capacity, or resource improvements.
Experience working in a complex, matrixed environment. Familiarity with academic research, healthcare, clinical operations, data/analytics, IRB, compliance, or data-governance workflows is preferred.
Proficiency with spreadsheets and structured project-tracking tools; experience with commonly used project-management, collaboration, and reporting platforms is preferred.
PMP, Lean/Six Sigma, or comparable project/program management training or certification is preferred but not required.
Statistical expertise, independent data analysis, statistical analysis plan authorship, and scientific leadership are not required for this role.
Constantly perform desk-based computer tasks.
Frequently stand/walk, sitting, grasp lightly/fine manipulation.
Occasionally use a telephone.
Rarely lift/carry/push/pull objects that weigh 11-20 pounds.
Occasional evening and weekend hours.
Interpersonal Skills: Demonstrates the ability to work well with Stanford colleagues and clients and with external organizations.
Promote Culture of Safety: Demonstrates commitment to personal responsibility and value for safety; communicates safety concerns; uses and promotes safe behaviors based on training and lessons learned.
