As an Office Coordinator, you will be the primary onsite anchor for our Los Angeles office of approximately 60 "Taboolars." While you will operate independently onsite, you’ll collaborate closely with the broader global team to deliver a consistent Taboola experience while championing the unique culture of our LA office.
In this role, you’ll manage day-to-day office operations, support employee travel, and help cultivate an organized, vibrant, and welcoming environment where our team can thrive, collaborate, and have fun.
To thrive in this role, you'll need:
2+ years of experience in office coordination, administrative support, or a similar fast-paced operational role
Proven ability to build collaborative, trust-based relationships across diverse range of internal departments (e.g., finance, human resources, executive teams)
Proven track record in sourcing and negotiating with vendors
A hands-on, service-oriented mentality with a proven ability to prioritize a high volume of requests without losing track of the details, and the belief that no task is too big or too small
A proactive, creative, and outgoing approach to tackling immediate daily challenges while anticipating future office needs — you're comfortable making decisions and seeing things through without needing sign-off on every step, and you stay calm and flexible when plans change last minute
Openness to using AI tools to work more efficiently (no prior experience required)
Ability to comfortably lift and move office supplies or deliveries weighing up to 20 lbs
Ability to work in-person on business days 8am - 5pm (with a lunch break, of course!)
Bonus points if you have:
Experience within a fast-paced technology or startup environment
Experience managing purchase orders, invoices, and payment tracking in partnership with Finance or Accounts Payable
How you’ll make an impact:
In addition to local onsite support, support office operations and employee experience initiatives for Taboola offices in New York, Chicago, Atlanta, Boston, São Paulo, and Mexico City
Serve as the “face” of Taboola, providing a warm and welcoming point of contact for employees, clients, and visitors at the front desk
Facilitate employee travel across the Americas and LATAM regions by setting up and approving travel budgets, enabling employees to book their own accommodations and flights, and adding trips to the team travel calendar; ensure adherence to the Travel Policy and assist with ground transportation invoicing and expense reconciling.
Ensure a smooth and organized office environment by managing inventory for all supplies and keeping the kitchen fully stocked, partnering closely with snack, beverage, and catering vendors to organize recurring orders
Align daily with janitorial staff to ensure high standards of cleanliness and setup are met across the office, kitchen, happy hours, and special events
Partner with building management, maintenance, and security personnel to ensure all facility needs are met regarding safety, visitor registration, and guest access
Oversee administration budgets for assigned offices, ensuring all financial records are kept up to date and expenses are accurately allocated; partner closely with the Finance department to reconcile expenses, generate and track purchase orders (POs) through approval and payment, and administer office programs such as the commuter stipend
Manage ad hoc projects and office events, including biweekly catered lunches, happy hours, regional touchpoints, DEI initiatives, manager offsites, and annual summer and winter celebrations

Base Salary Pay Range
$75,000 — $85,000 USD
